Physical Asset Verification: Running a Barcode Stock-Take

Auditors and regulators expect the asset register to match reality. A well-run stock-take proves it — and fixes it where it does not.

Key takeaways

  • Scope by location or category and assign an auditor.
  • Scan asset IDs, codes or serials with any barcode or QR scanner.
  • Record discrepancies and unregistered finds.
  • Close the audit with an accuracy figure and signed report.

Plan

  • Choose scope: a site, a data center or a category such as laptops.
  • Freeze lifecycle moves in scope during the count if possible.
  • Print or verify asset labels.
  • Assign auditors and a deadline.

Count

Most USB and Bluetooth barcode scanners act as keyboards, so scanning straight into a web form works without special hardware. Each scan either verifies an expected asset, flags one registered elsewhere, or records an unregistered find.

Outcomes

OutcomeMeaningAction
VerifiedFound where expectedUpdate “last verified” date
DiscrepancyFound elsewhere or different ownerCorrect the register or move the asset
Not locatedExpected but not foundInvestigate; possible loss
UnregisteredFound but not in the registerRegister or investigate

Close and report

Mark unchecked items as not located, record register accuracy (verified ÷ total) and produce a signed report. Track the share of the estate verified in the last twelve months as a KPI.

Handling discrepancies

  1. Confirm the scan and the location.
  2. Check recent lifecycle requests for the asset.
  3. Correct the register through a request, not a direct edit.
  4. Escalate assets not located after investigation as potential losses.
  5. Record the outcome in the audit report.

Audit evidence

  • Audit scope and auditor
  • Scan log with timestamps
  • Discrepancies and actions
  • Register accuracy figure
  • Signed final report

Labels that survive

Verification is only as good as the labels. Use durable, tamper-evident labels with the asset ID as a barcode or QR code, place them where they can be scanned without moving the device, and label new assets at receipt before allocation. For servers in racks, label the front bezel; for laptops, the underside; for monitors, the back near the stand.

Frequently asked questions

How often should we verify assets?
At least annually for the full estate, more often for high-value locations such as data centers.
Do we need RFID?
No. Barcodes or QR codes are enough for most organizations.
What if assets are not labelled?
Scan serial numbers and label assets as part of the first audit.
