IT Asset Lifecycle Management: From Request to Disposal

Every asset passes through the same stages. Control each transition and the register stays accurate without annual clean-ups.

IT Asset Lifecycle Management: From Request to Disposal — cover illustration

Key takeaways

  • Define statuses and allowed transitions.
  • Approve every transition with a second person.
  • Record evidence at receipt, allocation and disposal.
  • Use lifecycle data to plan refresh.

Lifecycle stages

StageStatusKey control
Request—Approved business need
ReceiveIn storeAsset tagged, serial recorded
AllocateIn useOwner and user recorded, acceptable-use acknowledged
TransferIn transitDispatch and receipt confirmed
RepairIn repairVendor and data handling recorded
ReturnIn storeInspection and wipe if reassigned
RetireRetiredPending sanitization
DisposeDisposedSanitization method and certificate

Maker–checker

Whoever requests a change should not approve it. Segregation of duties prevents assets disappearing through “disposals” nobody checked and gives auditors a clean trail.

Leavers and joiners

Link lifecycle requests to HR events: allocate on joining, return on leaving. Returned assets go to store for inspection — evidence for ISO 27001 control A.5.11 on return of assets.

Refresh planning

Age, warranty end and end-of-support dates turn the register into a refresh plan. Report what expires in the next four quarters and budget accordingly.

Lifecycle KPIs

KPITarget example
Approval time for requestsUnder 24 hours
Requests fulfilled within five daysOver 90%
Assets in transit over 14 daysZero
Disposals with sanitization evidence100%
Returned assets from leavers100% within one week

Common gaps

  • Allocations done informally by the service desk
  • Transfers between sites never confirmed on arrival
  • Repairs sent out without recording data handling
  • Retired devices stored for years without sanitization
  • Disposals recorded without certificates

Lifecycle and security

Lifecycle discipline is a security control. Unrecorded devices miss patches and endpoint protection, unreturned laptops keep data outside your control, and retired disks that are never sanitized become a breach waiting to happen. Linking lifecycle status to security tooling — for example, alerting when an in-use device has not been seen by endpoint management for thirty days — closes the gap between the register and reality.

Lifecycle data also feeds finance: purchase date, cost and useful life give book value, and planned retirements give the refresh budget for the coming year.
